Position Overview:

We are seeking a motivated and organized Youth Baseball Camp Administrative Assistant to join our team for the upcoming summer camp season. This role is vital in ensuring the smooth operation of our youth baseball camp, providing exceptional support to our participants, families, and staff. The ideal candidate will have strong administrative skills, a passion for working with youth, and a keen attention to detail.

Key Responsibilities:

  • Administrative Support: Assist the Administrator of SoCal FCA Baseball with day-to-day operations of the camp. Maintain accurate and up-to-date records of camper registrations, medical forms, and other necessary documentation. Coordinate communication with camp vendors (Chick-fil-A, Jersey Mike’s, etc.). Handle inquiries and provide information about camp programs, schedules, and policies.

  • Registration and Enrollment: Process camper registrations, using the check-in procedures. Prepare volunteers and support staff for distribution of gear during camp trainings and camp days.

  • Camp Operations: Assist with the setup and breakdown of camp facilities and equipment. Support the daily operations of the camp, including coordinating schedules, activities, and transportation. Monitor and address any issues or concerns that arise during camp sessions.

  • Customer Service: Provide excellent customer service to campers, parents, and staff. Address and resolve any concerns or questions in a timely and professional manner. Maintain a positive and welcoming environment for all participants.

  • Event Coordination: Help organize and execute special events, such as team gatherings, and end-of-camp ceremonies. Assist in preparing materials and coordinating logistics for these events.

  • Other Duties: Perform other administrative tasks as needed to support the camp's success. Assist with the preparation of reports and summaries as required.

Qualifications:

  • High school diploma or equivalent; some college coursework preferred.

  • Previous administrative experience, preferably in a youth sports or camp setting.

  • Strong organizational and multitasking skills.

  • Excellent verbal and written communication abilities.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).

  • Ability to work effectively in a team environment and handle diverse tasks.

  • Experience working with youth and a genuine interest in promoting a positive and safe camp experience.

  • Must be available for the full duration of the camp season.

Physical Requirements:

  • Ability to lift and carry up to 25 pounds.

  • Ability to stand, walk, and sit for extended periods.

  • Must be able to work in a variety of indoor and outdoor settings.
